Inevitably, you may end up with two profiles of the same person, usually created with different email addresses. Lineup lets you resolve these duplicate profiles by merging them into one. This article covers how to initiate a profile merge and what actually happens during the merge.
How to merge profiles
To begin a merge, select either profile that you wish to merge (duplicate or original, it doesn't matter- both work). After that, select the three dots just below the profile's name, and click on Merge.
Once you've selected the "Merge" option, you'll be presented with a popup that'll walk you through the process.
You'll need to search for the profile with which you'd like to merge. You can search by name or email, and we'll give you an image of their avatar (if you have one), tags, and the last time that profile was updated.
Important things to note:
- Primary Profile
- The primary profile is the one that will be the profile that inherits the email address and name (and a few other fields, see below).
- Secondary Profile
- While we'll attempt to use the most recently updated data points when merging the two profiles into one, there are a few things that we'll use the primary profile for.
If you want to switch the primary and secondary profiles, click on the "Swap Profiles" button below the two profiles.
Once you're ready to merge, click on the merge button!
Type in "MERGE" (all caps) and complete the merge. Please remember that you cannot undo this action. We can't, either, even through a ticket, so please be confident that you want to do this.
See below for what we're actually merging, as well as some helpful FAQs.
What is merged?
Email Address
The email address of the primary profile will always become the email address of the merged profile.
Personal Information
Personal Information that includes first name, middle name, last name will always use the primary profile's value. Status will also be primary.
If the primary profile has a value for phone number, LinkedIn Address, job title, company, gender, race and/or the profile image, the merged profile will inherit the primary profile's value for each system field. If the primary profile does not have a value but the secondary does, the merged profile will use the secondary profile's value.
For the mailing address, if the primary profile has a value for any mailing address field (eg. country, street address, postal code, etc.), the merged profile will inherit the primary profile's mailing address and ignore all values of the secondary profile's mailing address. If the primary profile has no mailing address, the merged profile will use the secondary profile's mailing address.
Person Custom Fields and Skills
After that, we will use the most recently updated value for custom fields.
For example, if both profiles have a value for "Favorite Ice Cream Flavor" and one is "Strawberry" and the other is "Vanilla", the system will look at when those two values were last updated. If "Strawberry" was added most recently, then the merged profile will have "Strawberry" for "Favorite Ice Cream Flavor", regardless of whether it was on the primary or secondary profile.
Team Experience (and evaluations)
The merged profile will inherit the team experience, tracked fields, and associated evaluations, of both primary and secondary profiles.
The only exception is if both profiles were on the same team. In this case, the most recently updated profile on that team will be kept.
Completed Lineup Forms
The merged profile will inherit all completed Lineup Forms. This means that if both profiles completed the same form, the merged profile will have a record of having completed it twice.
Certifications*
The merged profile will inherit all certifications associated with both profiles. If both profiles have the same certification, then the most recently updated certification will be used.
* The exception to this rule is if you have an integration with CertMetrics. In this case, because of the close link between Lineup and CertMetrics, the profile with the CertMetrics ID must be the primary profile. You cannot merge two profiles that both have a CertMetrics ID. In this case, please open a ticket with our support team.
Notes and Documents
The merged profile will inherit all notes and documents from both primary and secondary profiles.
